Information we may collect

The information we hold depends on how you interact with us. It may include:

  • your name, employer, role and business contact details;
  • information contained in an enquiry, proposal, meeting or correspondence;
  • information needed to manage a client relationship, contract, project or invoice;
  • development information supplied by you or your organisation, including profile responses and reports, coaching notes, feedback and agreed workshop records;
  • professional information received through a referral or from a public business source; and
  • limited technical information generated when you use the website, such as IP address, browser or device information, pages visited, referral source and security logs.

We do not normally seek special-category personal information through this website. If a particular engagement requires us to handle more sensitive information, we will explain the purpose, confidentiality arrangements and relevant legal basis separately.

Why we use personal information

We use personal information to:

  • respond to enquiries and discuss potential work;
  • prepare proposals and take steps towards a contract;
  • deliver consultancy, facilitation, development and coaching services;
  • manage client, associate and supplier relationships;
  • operate, secure and improve our website and services;
  • maintain appropriate business, contractual and financial records; and
  • meet legal, regulatory and professional obligations.

Our lawful bases

UK data-protection law requires a lawful basis for using personal information. Depending on the circumstances, we rely on:

  • Contract — when the information is needed to take steps at your request or to provide an agreed service.
  • Legitimate interests — to run and develop our consultancy, manage professional relationships, protect the website and communicate with relevant business contacts, where those interests do not override your rights.
  • Legal obligation — where information must be retained or disclosed to meet a legal requirement.
  • Consent — where we have specifically asked for it, including for any activity for which consent is legally required. You may withdraw consent at any time.

Coaching, profiles and confidentiality

Some engagements use tools such as Insights Discovery or FourSight, or involve individual coaching conversations. We use the resulting information only for the agreed development purpose.

When an employer or client sponsor commissions the work, we make clear what—if anything—will be shared with them. Personal coaching content is not routinely shared without the participant's knowledge and agreement, except where disclosure is required by law or there is a serious safety concern.

We do not use profile information to make solely automated decisions that produce legal or similarly significant effects.

Who we may share information with

We share only what is reasonably necessary. Recipients may include:

  • trusted Engage Technique associates involved in an agreed engagement;
  • the organisation commissioning the work, within the confidentiality arrangements explained for that engagement;
  • providers of email, IT, website hosting, secure storage, accounting and diagnostic or profile platforms;
  • professional advisers, insurers, regulators or public authorities; and
  • another organisation where disclosure is required by law.

We do not sell or rent personal information to other organisations.

Website hosting, analytics and cookies

This website is hosted using ChatGPT Sites, provided by OpenAI and its hosting partners. The hosting service processes limited technical and usage information to deliver, secure and maintain the website. Sites also provides aggregate traffic information, such as page views and unique visitors.

We do not currently add advertising cookies, social-media tracking pixels or separate marketing analytics to this website. The hosting platform may use technologies that are necessary for security and delivery. If we introduce non-essential cookies or additional tracking, we will explain their purpose and provide an appropriate choice before they are used.

You can read more about OpenAI's data practices in its privacy policy.

International transfers

Some service providers may process information outside the United Kingdom. Where personal information is transferred internationally, we take reasonable steps to use providers and arrangements that protect it in accordance with applicable data-protection law.

How long we keep information

We keep information only for as long as it is reasonably needed for the purpose for which it was collected, taking account of the client relationship, confidentiality commitments, legal and accounting requirements, and the possibility of resolving a dispute.

Routine enquiry correspondence is reviewed periodically and removed when it is no longer relevant. Contractual and financial records are normally kept for up to six years after the relevant relationship or transaction. Development records and working notes are retained only for as long as they remain necessary for the agreed engagement or legitimate follow-up.

How we protect information

We use reasonable organisational and technical measures to protect personal information from loss, misuse, unauthorised access, alteration or disclosure. Access is limited to people who need the information for an appropriate business purpose.

Your rights

Depending on the circumstances, you may have the right to ask us to:

  • provide a copy of your personal information;
  • correct information that is inaccurate or incomplete;
  • delete or restrict the use of your information;
  • stop using your information for certain purposes;
  • transfer information you provided to another organisation; or
  • recognise the withdrawal of your consent.

These rights are not absolute and exemptions can apply. To exercise a right or ask a question, email team@engage-technique.co.uk. We may need to confirm your identity before acting on a request.
